The sale is only the beginning of the workflow
A POS demonstration usually makes an ordinary transaction look easy. The more useful evaluation follows the difficult cases: a changed order, a partial refund, a declined payment, a printer interruption or an item that must reach another station.
Build a short script from the business's real work. In a restaurant, that may include modifiers, routing, courses and a split payment. In retail, it may include returns, exchanges and inventory updates. The point is to expose the dependencies that an attractive terminal cannot solve alone.
Run the script with the staff roles that will use the system. A manager completing every action with unrestricted access is not the same workflow as a clerk or server operating during a busy shift.
Shortlist according to the operating environment
These are reasons to investigate a platform, not claims that each serves every industry equally well. The required software and transaction flow should select the platform before display size or chassis price decides the hardware.
Keep the exact package visible in the quote. Similar names can conceal different customer displays, payment devices, power supplies and accessory connections.
| Requirement | Candidate direction | Reason to choose it |
|---|---|---|
| Existing Square selling and administration workflow | Square Register 2nd generation | Evaluate the current terminal with the required Square applications |
| Required Clover applications and supported processing arrangement | Clover Station Duo | Confirm exact Duo generation, account relationship and peripherals |
| Restaurant workflow built around Toast | Toast Flex or Flex 3 configuration | Verify kitchen, payment and generation-specific compatibility |
Generation changes can affect ordinary installation work
Square's second-generation Register is distinct from the earlier hardware. Clover's original Station Duo is distinct from Duo 2. Reviews of an older generation can reveal workflow concerns, but they do not automatically describe the newer device's performance or faults.
Toast's Flex and Flex 3 arrangements make peripheral identity especially important. Power supplies, payment devices and adapters have defined compatibility; a physically similar connector does not establish a supported data connection.
Before deployment, match the terminal, payment device, printer and power components to the supported configuration. That prevents a software-ready site from losing time because an apparently minor accessory is wrong.
The payment relationship is part of the purchase
Clover explicitly limits its devices to supported processing arrangements rather than arbitrary other processors. A merchant should therefore evaluate the hardware and account terms together instead of treating terminal ownership as unrestricted portability.
Apply the same complete-cost discipline to every platform. Include the required software tier, applications, processing arrangement, peripheral services and any support commitments that influence the actual operating cost.
A low upfront equipment price is useful only when the recurring relationship also fits. The decision should leave the merchant able to explain who supplies each service, what it costs and what changes if the business expands or switches platforms.
Outages need a transaction-level response
An offline-payment feature addresses only certain connectivity interruptions. Payments captured offline still require upload and reconciliation, and the merchant must understand the platform's rules and exposure if a transaction is not ultimately approved.
Power loss is a separate problem. A terminal requiring external power cannot continue because an offline setting is enabled. A failed order-routing integration or printer may also interrupt work while card acceptance still appears normal.
Demonstrate the return to service as carefully as the outage itself. Staff should know which transactions need attention, how duplicate actions are avoided and how the day's records are reconciled. A system that takes payments again can still leave an administrative gap.
Support ownership determines how quickly work resumes
Published operator experiences vary within the same POS platform. Some describe difficult escalations; others report stable operation or a problem resolved by the right account contact. Those reports do not create a hardware failure rate, but they do identify an important buying criterion.
Name the support owner for a problem spanning the device, merchant account and an application integration. The business needs a route to resolution when each component appears to belong to a different team.
Select the platform that completes the real workflow and its exceptions with an acceptable ongoing relationship. The final acceptance should include a normal sale, an interrupted transaction, reconciliation and a demonstrated escalation path. That is the basis for a dependable counter or restaurant operation.
