For a tax practice or another small business, a monthly charge per employee can look expensive beside an hourly service rate. That comparison only helps if you first identify the work and software included in each offer.

Compare the service behind the price

Ask whether the monthly proposal includes remote support, account administration, security tools, backups, and onsite visits. Identify exclusions, support hours, and project charges. A lower field-labor rate does not establish that the same ongoing responsibilities are covered.

Price the onsite work separately

For physical troubleshooting, device replacements, or workstation setup, request an estimate based on the address and assignment. Ask about minimum hours, billing increments, travel or service fees if applicable, parts, and after-hours rates. Agree on an approval limit for diagnostic work.

Use your actual workload

List recent requests and the time your own staff spent dealing with them. Separate recurring support from occasional installations. This gives you a practical basis for evaluating a monthly proposal, scheduled visits, or a combination. It does not require guessing what a different business pays.
